Position Title: Site Coordinator

Position Overview

The Site Coordinator is responsible for managing the daily operations of a single-person site, ensuring the delivery of contracted office services. These services include, but are not limited to, copy services, courier services, managed print services, hospitality, imaging, and mail services.

Key Responsibilities

Oversee daily operations of the mailroom, copy center, or scanning facility, including operating office equipment (e.g., PCs, copiers, multifunction devices, imaging, and mail equipment).

May Provide Additional Support For

Courier services

Reception services

Switchboard operations

Shipping and receiving

Mail delivery and processing

Serve as the primary point of contact for the customer, ensuring professional and effective communication daily.

Implement and manage RICOH Service Excellence Programs to uphold service quality standards.

Efficiently operate required equipment and software to meet service level agreements.

Manage the cost of goods effectively by optimizing the use of company materials and supplies.

Perform routine tasks such as creating and completing work orders, contractor monitoring, inspections, and reporting facility-related issues.

Provide additional support as needed, including interaction with contracted vendors, facility management, and building occupants.

Monitor office supply inventory and reorder supplies as necessary.

Manage conference room coordination and audiovisual (A/V) equipment resources.

Maintain positive relationships within the department to foster a collaborative work environment.

Collect and present data to leadership and customers, including preparing monthly reports with assistance from assigned leadership.

Ensure financial responsibilities are met.

Perform other duties as assigned.

Qualifications

Education: High school diploma or GED required.

Experience

1+ years of experience in a related field.

Skills

At least 1 year of customer-facing experience is required.

Demonstrated knowledge and understanding of technology.

Key Skills And Abilities

Confident presenting to small groups.

Moderate problem-solving capabilities.

Basic customer service and technical skills.

Strong written and verbal communication abilities.

Working Conditions And Physical Demands

Typically based in an office environment with standard lighting, ventilation, and noise levels.

Diverse work assignments requiring the interpretation and application of complex data and instructions.

Some physical activity required, including walking, standing, bending, reaching, and lifting or carrying objects up to 50 lbs. (e.g., papers, books, files, small parts).

Moderate dexterity needed for tasks such as using calculators, keyboards, or basic hand tools.
