We are looking for a proactive and detail-oriented
Admin Assistant to join our team in the
construction industry. The ideal candidate will have
2-4 years of experience in administrative or office support roles, with excellent organizational skills and the ability to multitask in a fast-paced environment.
Key Responsibilities
Office Management
- Manage office supplies, equipment, and inventory to ensure seamless operations.
- Maintain a clean, organized, and professional office environment.
- Coordinate with vendors and service providers for office maintenance and repairs.
Administrative Support
- Schedule meetings, appointments, and travel arrangements.
- Prepare and distribute correspondence, memos, and reports.
- Maintain and update filing systems (both physical and digital).
Communication & Coordination
- Act as the first point of contact for visitors and phone calls, ensuring excellent customer service.
- Liaise with internal teams and external stakeholders to facilitate smooth communication.
- Handle incoming and outgoing mail, emails, and packages.
Documentation & Record-Keeping
- Assist in preparing and formatting documents, presentations, and spreadsheets.
- Maintain accurate records of office expenses, invoices, and budgets.
- Ensure confidentiality and security of sensitive information.
Qualifications & Requirements
Education:
- High school diploma (mandatory).
- Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).
Experience:
- 2-4 years of experience in administrative or office support roles.
- Prior experience in the construction industry or a similar fast-paced environment is a plus.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software (e.g., SAP, Oracle) is a plus.
- Basic knowledge of document management systems.
Soft Skills:
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and collaboratively.
